C. Payment Information

Depending on the payment method, the payment processor may collect payment-card numbers, bank information, billing addresses and other information required to complete the transaction.
Retresana does not intend to store complete payment-card numbers on its own systems when payment processing is performed by a third-party payment processor.
We may receive transaction information such as your name, payment amount, transaction date, payment status, payment method type and transaction identifier.
D. Dietary, Accessibility and Health-Related Information
For retreat planning and participant safety, you may voluntarily provide information such as:

- Physical limitations relevant to retreat activities or accommodations
- Other health-related information that you choose to provide and that is reasonably relevant to your participation
We ask that you not submit complete medical records or health information unrelated to your participation in the retreat.

Retresana does not use health-related information supplied for retreat operations for targeted advertising.
E. Emergency Contact Information
You may provide information about another person as your emergency contact.
By providing another person's information, you represent that you are authorized to provide that information to us for emergency-contact purposes.
We use emergency-contact information only for retreat administration, safety and emergency purposes or as otherwise required by law.

Retresana seeks to minimize the sensitive information it collects.

We do not sell health-related information.
We do not use health-related information submitted for retreat operations to create targeted advertising audiences or personalize advertising based on a health condition.
We do not intentionally disclose this information to advertising platforms for their independent advertising purposes.
Where sensitive information must be shared with a venue, chef, facilitator, transportation provider or other service provider, we seek to share only information reasonably necessary for the applicable purpose.
For example, a chef may need to know that a participant has a particular food allergy but ordinarily does not need unrelated medical information.
5. HIPAA
Retresana's wellness and retreat services are not represented as being subject to the Health Insurance Portability and Accountability Act (“HIPAA”) merely because we may receive health-related information from participants.
Different privacy laws may apply depending on the nature of the information, service and parties involved.
We therefore treat health-related participant information as sensitive information and apply appropriate safeguards regardless of whether HIPAA applies.
6. How We Disclose Information
We may disclose personal information to third parties when reasonably necessary to operate our business or provide the services you request.
These recipients may include:
Retreat Venues
We may provide information necessary to coordinate accommodations, meals, resort services, room assignments and retreat operations.
For the Costa Rica Wellness Transformation Retreat, this may include Mandala Ojochal.
Facilitators and Wellness Providers
Information may be provided to instructors, facilitators or wellness practitioners when reasonably necessary to safely provide a service or accommodation.
Transportation and Excursion Providers
We may provide names, contact information, travel schedules or other information necessary to coordinate transportation or activities.
Payment Processors and Financial Institutions
Payment and transaction information may be processed by payment providers, banks and financial institutions.
Technology and Business Service Providers
We may use service providers for website hosting, email, registration systems, customer communications, cloud storage, analytics, security, accounting and other business functions.

Retresana does not sell personal information for money.
Certain privacy laws may define “sale,” “sharing,” or “targeted advertising” more broadly than an ordinary sale for money.
If Retresana uses advertising or analytics technologies in a manner that constitutes a sale, sharing of personal information or targeted advertising under applicable law, we will provide applicable notices and choices required by law.
We will not knowingly use health-related information provided through retreat registration to target advertising based on a participant's health condition.

You may unsubscribe from marketing emails using the unsubscribe link included in those messages or by contacting us.
Unsubscribing from marketing does not prevent us from sending transactional or service communications relating to a retreat registration, payment, safety issue or other existing relationship with you.
11. Photography and Video
Retresana may photograph or record retreat activities.
Where identifiable images or recordings are intended for promotional use, Retresana will seek appropriate participant permission.
Choosing not to provide promotional media consent will not, by itself, prevent you from participating in a retreat.
Incidental appearances in crowd or background imagery may be handled as permitted by applicable law and the circumstances of the event.
12. International Travel and Data Transfers
Retresana retreats may take place outside the United States.
To provide your retreat, we may need to share limited personal information with venues and service providers located in the destination country.
For example, information necessary for accommodations, dietary needs, transportation or activities may be provided to appropriate service providers in Costa Rica.
Privacy and data-protection laws in those jurisdictions may differ from those in your home jurisdiction.
We seek to limit information disclosed internationally to information reasonably necessary for retreat operations and services.
13. Data Retention
We retain personal information only for as long as reasonably necessary for the purposes described in this Policy, including providing services, maintaining business and tax records, resolving disputes, enforcing agreements, satisfying insurance requirements and complying with legal obligations.
Different categories of information may have different retention periods.
We seek to retain sensitive health-related and accommodation information only for as long as reasonably necessary for retreat operations, safety, legal obligations and legitimate recordkeeping needs.

You may withdraw consent where permitted by applicable law.
Withdrawal does not affect processing that occurred lawfully before withdrawal and may affect our ability to provide a requested accommodation or service when the information is genuinely necessary for that purpose.

Retresana's website and retreats are intended for adults unless a particular program expressly states otherwise.
We do not knowingly solicit personal information online from children under 13.
If we learn that we have collected personal information from a child in circumstances requiring parental consent without obtaining the required consent, we will take appropriate steps to delete or otherwise address that information.
18. Third-Party Websites and Services
Our website may link to third-party websites, social-media platforms, payment services, airlines, travel providers, retreat venues or other services.
Those organizations operate under their own privacy practices.
Retresana is not responsible for the privacy practices of third-party websites or services that we do not control.

19. Do Not Track and Privacy Preference Signals
Browser and device privacy signals continue to evolve.
Where applicable law requires Retresana to recognize a legally valid opt-out preference signal, we will take reasonable steps to honor that signal as required.
Other “Do Not Track” signals may not be uniformly recognized because no single industry standard applies to all such signals.
